The purpose of the processing of your personal data

In order to provide you with the best possible value of Arctic Hub, we offer you a range of options as listed below. When you register, we collect personal data to tailor communication and offers to your specific needs, just as we use personal data to examine and analyse who our users are and where they are located.

 

We only process general personal data in the form of:

 

Name, email address, country, your relationship to Arctic research.

 

We collect the personal data directly from you when you contact us. We do not collect information about you from third parties.

 

Join Arctic Hub:

When you register on our website, you can register different information that can improve your user experience. We collect general personal data in the form of:

 

• Name, e-mail address, country, your relationship to Arctic research, your location.

 

Newsletters:

 

• If you sign up for our newsletter, we collect general personal data, including name and email address.

 

Book A Meeting:

When you register, we collect general personal data in the form of:

 

• Name, email address, title, employer.

• Location.

• We also ask that you fill in some information about your purpose with the meeting.

 

Events:

When you sign up for our events, you will be asked to provide personal data, including:

 

• Name, title, organization, and email address.

• Depending on the type of event you will also sometimes be asked to specify your language as well as dietary preferences.

• Documentation of our work. Arctic Hub takes pictures at our presentations and events. We use the images for documentation and communication about our work to contributors, volunteers, partners, etc. The images are used on Arctic Hub’s website, social media and in printed materials. It is not possible to avoid identifiable persons appearing on these pictures.

• Investigate, analyse, and document who uses Arctic Hub, our website and our offerings.

Legal basis for processing your personal data

The legal basis for our processing of your personal data depends on the kind of personal data and the purpose for which the personal data is processed. In most cases, we process your personal data to fulfil an agreement with you about your membership. This applies when:

 

• You register in ’Join the Hub’.

• You book a meeting.

• You sign up for an Arctic Hub event.

 

The legal basis for processing your ordinary personal data is section 6 (1) (2) of Royal decree no. 1238 of October 14, 2016, on the processing of personal data, and article 6 (1) (b) of the Data Protection Act, as the processing of your personal data is necessary for us to fulfil our agreement with you, or for us to handle inquiries prior to your possible meeting with us.

 

If you have agreed to it, we process personal data pursuant to section 6 (1) (1) of Law on the processing of personal data, and Article 6 (1) (a) of the Data Protection Act. This applies when:

 

• You accept the use of cookies for marketing purposes and our sharing of this information to social media. You also consent to these cookies in accordance with section 3 in the regulation on cookies.

 

We can process your personal data on the basis of a public interest, cf. section 6 (1) (7) of Law on the processing of personal data, and Article 6 (1) (e) of the Data Protection Act, unless your right to protect of your personal data takes precedence over our public interest in the processing your data.

 

This applies, for example, when:

 

• We publish photos from events.

• You sign up for our newsletters after you have given consent in accordance with section 10 of the Danish Marketing Act.

• You accept the use of cookies for purely statistical purposes. However, you give consent to these cookies in accordance with section 3 in the regulation on cookies.

 

Disclosure of your personal data

Your personal data are handed over to external suppliers and partners who process the information on our behalf. We use external partners for IT operations, hosting, etc. These companies are data processors and process personal data in accordance with our instructions. The data processors may not use the information for other purposes than fulfilling their agreement with us, and they must treat the information confidentially. We have entered into written data processing agreements with all our data processors.

 

We only pass on your information to third parties to the extent we are obliged to do so by law or with your explicit consent.

 

Storage and deletion of your personal data

We only store personal data for the period that is relevant in relation to fulfil the purpose of the information, and during the period we need the personal information to document that we comply with requirements under the law, e.g., the Accounting Act and the Marketing Act. The period depends on the nature of the information and the reason for the storage. Generally, we store accounting documents for 5 years from the end of the most recent fiscal year, and documentation for compliance with the Danish Marketing Act for 2 years from the last contact with you, unless we are obliged to store them longer according to archive legislation, or in the event of a specific complaint or dispute.

• Access to personal data

 

You have a right of access to the personal data that we process about you, including the purpose for which the personal data was collected. We will comply with your request for access as soon as possible and after ensuring that you are the person concerned.

 

• Rectification

 

You have the right to have incorrect personal data about yourself corrected by us. If you become aware of incorrect information that we have registered about you, please write to us so we can correct the information. You will be asked to prove that you are the person concerned.

 

• Deletion

 

In certain cases, you have the right to have all or some of your personal data deleted by us, e.g., if you withdraw your consent, and we have no other legal basis to continue processing. You will be asked to prove that you are the person concerned.

 

• Limitation of processing

If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. Your withdrawal does not affect the legality of the processing prior to the withdrawal of your consent. Please contact us if you wish to withdraw your consent.

If you find a picture of yourself on Arctic Hub’s website or on social media that you do not wish to be shown, you can contact us at info@arctichub.gl at any time and ask to have it deleted.
